About This Position

The incumbent serves as an Advanced Medical Support Assistant (MSA) in Radiology/Nuclear Medicine Service. The Advanced MSA works collaboratively in an interdisciplinary coordinated care delivery model within the Radiology/Nuclear Medicine Service including team huddles that are used to manage, plan, and set priorities and deadlines for meeting timeliness of scheduling imaging studies.

Qualifications

Basic Requirements: Citizenship. Non-citizens may only be appointed when it is not possible to recruit qualified citizens in accordance with VA Policy. Experience. None Education. Must possess one of the following: High school diploma or transcript (including homeschooling) General Education Development (GED) certificate Proficiency certificate issued by a State or Territorial Board or Department of Education Post-high school education You do not have one of the education levels listed above, but you were in the Medical Support Assistant occupation (GS-0679) on a permanent appointment with the Department of Veterans Affairs as of February 5, 2026, meeting all qualification requirements as part of the grandfathering provision Documentation Requirements for Proof of High School Completion or higher: If using post-high school education to substitute for experience at the GS-04 or GS-05, you must submit a copy of your unofficial or official college transcript with your application.

If selected, to meet the basic requirement of high school education or equivalent and prior to a firm job offer being extended, applicants must provide one of the following as verification of the education requirement if not covered under the grandfathering provision: Copy of high school diploma OR high school transcript (unofficial or official) OR GED Certificate OR homeschooling completion OR proficiency certificate issued by a State or Territorial Board or Department of Education OR college transcript (official). Licensure/Certification/Registration. None Grandfathering Provision.

Employees in VHA in this occupation, under a permanent, appropriate, and legal placement on the effective date of the qualification standard, are considered to have met all qualification requirements for the grade and/or assignment held, including positive education and registration/certification where applicable. For employees who do not meet all the basic or assignment-specific requirements in this standard but met the qualifications applicable to the position at the time they were appointed, the following provisions apply: (1) Employees who are appointed on a temporary basis prior to the effective date of the qualification standard may not have their temporary appointment extended or be reappointed on a temporary or permanent basis until they fully meet the basic requirements of the standard. (2) Employees retained in this occupation under this provision who subsequently leave the occupation lose protected status and must meet the full VA qualification standard requirements in effect at the time of re-entry to the occupation. English Language Proficiency.

Candidates must be proficient in spoken and written English in accordance with 38 U.S.C. ยง 7403(f). Grade Determinations GS-6: Experience. One year of creditable experience equivalent to the next lower grade level GS-5.

Assignment. This is the full performance level for MSAs. At this level, the MSA independently performs a full range of duties related to the delivery of healthcare services in an inpatient or outpatient setting.

Advises clinical staff on current administrative processes. The MSA is responsible for answering phones, greeting patients, relaying messages to appropriate staff inside or outside of the unit, and scheduling appointments, including interpreting and verifying provider orders in accordance with VHA national scheduling guidelines. Assignments at this level include, but are not limited to: scheduling, canceling, re-scheduling patient appointments and/or consults; entering no-show information; monitoring appointment requests from multiple electronic sources; participating in huddles with other MSAs and/or clinic staff to determine the daily needs of the clinic, monitoring both inpatient and outpatient appointments in areas of responsibility; verifying and updating demographics and insurance information when patients check-in for appointments.

Coordinates administrative functions relating to emergency and non-emergency transfers to other VA facilities or private hospitals and determines appointment type based on the patient's eligibility status (i.e., TRICARE, sharing agreements, collaterals, research patient, VA employee, etc.). Knowledge, Skills, and Abilities (KSAs).

In addition to the experience above, the candidate must demonstrate the following KSAs: (a) Advanced knowledge of the technical health care process (including, but not limited to, scheduling across interdisciplinary coordinated care delivery and/or care in the community models and patient health care portals) as it relates to access to care. (b) Advanced knowledge of policies and procedures associated with interdisciplinary coordinated care delivery and/or care in the community operational activities that affect patient flow, and patient support care administrative functions to include, but not limited to appointment cycles, outside patient referrals, follow-up care, overbooking, provider availability, etc. (c) Advanced knowledge of medical terminology due to the technical nature of language utilized by clinicians. (d) Ability to collaborate and communicate with a wide range of medical clinicians across multiple disciplines (e.g., medical doctors, nurse practitioners, physician assistants, psychologists, psychiatrists, social workers, clinical pharmacists, and nursing staff) to accomplish team goal setting to ensure medical care to patients is met. (e) Ability to independently set priorities and organize work to meet deadlines, ensuring compliance with established processes, policies, and regulations. (f) Ability to communicate tactfully and effectively, electronically, by phone, in person, and in writing, with internal and external customers. This may include preparing reports in various formats and presenting data to various organizational levels, as well as resolving patient concerns. The full performance level of this vacancy is GS-6.

Major Duties

Coordinates with the patient, interdisciplinary team including the radiologist, technologists, and patients' referring service team, nurses, other VA medical centers, Community Care, and other agencies Notifies patients of requirements prior to appointments, including labs or x-rays and follow up care on imaging orders Monitors pre-appointment requirements to assure readiness for patient appointment/procedure including X-rays, Lab work, MRI safety screening requirements, etc. Generates data reports from the VistA Radiology Package or Fileman and uses them to manage radiology scheduling lists Coordinates patient procedures by verifying pre-procedure workup is complete and meets procedure requirements prior to procedure Interprets information provided to ensure that the correct exam as ordered by the physician is the one scheduled to be done Participates and provides input on problem solving with operational issues in team meetings, performing administrative follow up actions on orders and consults, educating providers about shared patients who are receiving care at multiple VAs or those who receive care in the community Works collaboratively with the Office of Community Care for scheduling of radiologic/nuclear medicine procedures performed in the community Gathers data on patients referred to the community and developing a report that is shared with the Office of Community Care to determine if the patients' care has been completed Effectively communicates with the Office of Community Care to ensure reports and images are received, processing orders and consults in accordance to policy and following up on outstanding consults Ensures that outside providers have prior imaging exams that are necessary for interpretation Supports patient safety standards using the correct Veterans Affairs identification of all patients using two forms of identification, name and Social Security Number or DOB Validates and updates patient demographic information, either in person during check-in or over the phone, to decrease the incidence of returned mail due to incorrect addresses and inability to contact patient by phone due to incorrect number Explains the VA's mandate to collect insurance information to Veterans, their families, and other eligible patients Collects, scans, and updates health insurance information, serving a major role in the revenue process Contributes to the revenue collection process by identifying patients with third-party insurance. Promotes Veteran registration for and utilization of My HealtheVet (MHV) Schedules Veteran appointments in accordance with service procedures and policies and instructs the patients on standard preparation procedures required prior to testing Schedules appointments in the VistA scheduling package, as well as, the VistA radiology package Ensures all appointments are scheduled timely and makes every effort to meet the clinically indicated date of the provider Performs all other duties as assigned Total Rewards of a Allied Health Professional Work Schedule: Monday - Friday, 8am - 4:30pm Recruitment/Relocation Incentive: Not authorized
