Qualifications

  1. Three years of experience demonstrating a broad knowledge of basic administrative policies, principles, concepts, and procedures; and the ability to apply such knowledge in performing work within established procedures and systems, including the ability to maintain confidentiality and professionalism.
  2. Experience which requires a substantial level of judgement, discretion, and attention to detail.
  3. Proven ability to manage and prioritize multiple tasks, often under strict deadlines, while continuing to provide effective support to a diverse range of personnel.
  4. Skill to operate a personal computer and associated peripheral equipment and software such as Adobe Acrobat and Microsoft Outlook, Word, Excel, PowerPoint.
  5. Ability to read and interpret specific procedural guides such as instructions, manuals, established policies and procedures for assigned tasks.
  6. Skill in preparing documentation and presentations in proper format, in accordance with Naval Correspondence standards, grammar, spelling, and punctuation rules.
  7. Ability to communicate effectively in English both orally and in writing with co-workers, MCCS employees, managers, and extended contacts using proper tact and diplomacy.
  8. Skill to deal with employees at various levels in the organization and to represent the division with customers external to the organization. Experience working with command-level leadership.
  9. Excellent customer service, interpersonal skills, and tact, along with the ability to independently solve problems and proactively identify opportunities for continuous improvement. Major Duties

Coordinates and performs executive level administrative, clerical duties and office support to the Director and Deputy Director of the Marine Corps Community Services (MCCS) Division. DUTIES AND RESPONSIBILITIES: Receives phone calls, visitors, and external contacts, and refers others as appropriate. Resolves inquiries promptly, escalating issues to supervisors as needed.

Uses Microsoft Office program and other software to create and transmit correspondence, reports, databases, spreadsheets, graphics, slideshows and presentations. Maintains a variety of documents. Ensures accuracy and consistency with applicable regulations, instructions, manuals, and the supervisor's requirements.

Establishes suspense dates to ensure timely responses to requests. Determines the next action required and priority. Resolves procedural and substantive problems not requiring technical knowledge based on a variety of alternatives and priorities set by the supervisor and addresses matters requiring technical knowledge by seeking out executive level comments.

Reviews and interprets directives and regulations to assist in the development and implementation of local administrative policies and procedures. Provides guidance to MCCS staff on local administrative directives and procedures. Arranges and maintains appointment calendars for the Director and Deputy Director of MCCS based on personal knowledge of workload, priorities, current issues, and unwritten policies and practices.

Attends meetings and takes minutes as needed. May perform a variety of administrative support duties such as coordinating with stakeholders to facilitate MCCS tour requests, including developing itineraries and presentation materials; arranging and processing temporary duty travel for the Director and Deputy Director; and maintaining an efficient office environment by monitoring and replenishing supplies. May be delegated signatory authority for selected administrative matters.

Adheres to safety regulations, promptly reporting workplace hazards, injuries, or property damage to supervisors. Provides World Class Customer Service with courtesy, communicating positively and taking action to solve problems quickly.

Performs other related duties as assigned. This is a white-collar position where occasional lifting up to 20 lbs. may be required.
